Unexpected car-hire damage charge: request the evidence before escalating

Prepare a car-rental damage complaint with collection photos, return records, contract terms and a specific request for the charge evidence.

A damage charge may arrive after you have returned the rental car. Ask what damage the company says occurred, when it recorded it and how it worked out the charge. Check which business took the payment so your complaint reaches the right place.

What you need to know

CCPC car-rental guidance emphasises the rental terms, insurance cover and vehicle condition records. Cover may contain exclusions or an excess; having insurance does not establish that a particular charge is covered or justified. For a business in another country, cross-border assistance may be relevant rather than an Irish domestic procedure.

Read the official sources below for the detail and current procedure.

Documents and details to keep

  • Rental agreement, collection and return condition reports.
  • Original timestamped photos and any signed acknowledgement at return.
  • Charge notification, itemised amount and the insurance or waiver terms relied on.

What to do first

Request the inspection evidence and calculation behind the charge. Compare those records with your collection photographs and the agreed terms. Explain any inconsistency precisely. Do not alter photographs, omit known damage or describe a deposit hold as a completed charge without checking the payment record. Ask for a written response before deciding which escalation route fits.

A fictional example

In this fictional example, a renter is charged €420 for a scratch. A photo taken at collection appears to show a mark in the same place. They send the photo to the rental firm and ask it to compare the inspection records. The example does not establish that the charge was wrong.

What you could write

Adapt only if accurate for your facts. This is not a court document or formal statutory notice.

Please provide the collection and return inspection records, dated photographs and the calculation supporting this charge. My collection photograph appears to show a mark in the same location. Please address that evidence when reviewing the disputed amount.

How TBD can help

TBD can help draft your request and put the dates in order. Check the photos, inspection records and business details before sending it. We cannot decide insurance cover or promise that the rental firm or bank will reverse the charge.

If the first letter does not resolve it

If the response does not resolve the issue, check the rental complaint scheme, applicable cross-border consumer assistance and any payment dispute deadlines. An insurance claim may have separate notification requirements. Do not wait indefinitely for informal correspondence where a time limit is approaching.
